Privacy Policy

Positive Feedback is operated by Coteclat LLC. This policy covers positivefeedback.ai, mtok.ai, our other product sites and the Positive Feedback iPhone app. Questions, requests and complaints: LARRY@POSITIVEFEEDBACK.AI.

Name. Email address. Phone number. Postal address. Photos, videos and other files you upload. Other content and business records you create or import, contacts, invoices, locations, work orders and media. Account and member identifiers, including your account identity hash. Purchase history and MTOK balance. Standard technical logs (IP address, timestamps) for security monitoring. Every item above is linked to your account, and none of it is used for tracking or advertising.

To run the services you signed up for and nothing else: your records, invoices, maps, media and billing. We never sell or share your personal data, and we never use one account's data for another account. Every record is isolated to your account by FROST IDENTITY at the query level.

We do not use your content to train, tune or evaluate any AI model. LARRY processes your data only to produce the result you asked for, and prompts and outputs are kept with your account records under the retention terms below.

Google Cloud Platform hosts the service. Stripe processes payments, card details go to Stripe and we never store a full card number. Google and Apple provide sign-in when you choose those doors, and we receive only an account identifier and email address. We use no advertising networks and no analytics or crash SDK in the app. Website analytics are switched off.

When you buy MTOK, Stripe gives us the name and email address you paid with. We use them only to add the MTOK to the account or member that uses that email, or to open a new account for it and email you its sign-in details.

Data is hosted on Google Cloud Platform in the United States and is encrypted in transit. Files are managed by DA-M, our digital asset system, with content-addressed storage and full audit trails. If you are in the EEA or the UK, your data is transferred to the United States under the European Commission's Standard Contractual Clauses.

Account and business records are kept while your account is open. Technical security logs are kept for 12 months. After an account is deleted, uploads are removed within 30 days; invoices, payments and other records we are required to retain for accounting and tax are kept for 7 years and are no longer linked to you.

You can delete your account yourself at any time: in the iPhone app open ACCOUNT and choose DELETE ACCOUNT, or on the web open your account page and do the same. Deletion removes your identity, your credentials and your uploads. Business records your organisation is required to keep are re-attributed to the account owner rather than erased. You can also write to us and we will complete any request within 30 days.

You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or send it to another provider. We do not sell or share personal data as those terms are defined by California law, and we do not use it for cross-context behavioural advertising. If you are in the EEA or the UK you may also complain to your local supervisory authority. Our legal bases are: performing our contract with you for account and service data, our legitimate interest in keeping the platform secure for technical logs, and your consent for anything optional.

We set one cookie, session_frost, which keeps you signed in. It is strictly necessary and is not used for tracking. Website analytics are switched off and no analytics cookie is set.

Positive Feedback is business software. It is not directed to children and we do not knowingly collect data from anyone under 16.

If we change this policy we update the date above and, for material changes, tell account holders by email.
